The Opportunity

We are offering a rare opportunity to join this market leader as the Executive Assistant to the Chief Executive Officer. In this role, you will be a key representative of the CEO and the business, providing critical administrative support. This is a highly visible role across the organisation and has exposure to various parts of the business.
The Responsibility
A complete job description will be shared during the briefing discussion. A brief outline of your duties as the Executive Assistant to CEO will include:
- Diary management, triage incoming emails, communication and requests, escalating, delegating, prioritising and actioning.
- International and domestic travel arrangements including accommodation, transfers, itineraries, visas and associated collateral.
- Contribute to the annual calendar, assisting with planning and management to ensure all relevant meetings and events are captured.
- Coordinate completion of the CEO report with the Australian and international teams.
- Prepare, proof, format and finalise agendas, take minutes and record and monitor action items for leadership and board meetings.
- Distribute/receive appropriate paperwork ahead of meetings and provide appropriate briefs to CEO and teams.
- Prepare PowerPoint presentations.
- Work closely with the whole executive team and the other Assistant roles.
- Management of key events and conferences, as necessary.
- Organise catering, IT equipment, meeting rooms and car spaces.
- Coding monthly corporate card expenses and SAP invoice approvals and management.
- Assist with management of forecast and budget process of corporate cost centres, serve as a key account contact for relationships with external providers, and support standard vendor management and account admin.
The Expertise
The ideal candidate will have a minimum of 10 years’ experience supporting at MD/CEO level within a corporate business environment. Current or prior exposure to working within a business with global offices, and demonstrated experience working across time zones is preferrable, as is your ability to strategically guide and partner with your executive. You thrive working in high-pressure environments characterised by intensity and complexity. You should be confident in providing support to other senior executives as needed, demonstrating a collaborative and team-oriented approach without being overly protective of responsibilities, and be aware that flexibility and adaptability are required. Your positive attitude, attention to detail, warmth, personable nature, and stability are necessary to succeed in this position.
