The Opportunity
Our client is a privately owned organisation with a diversified portfolio across property and infrastructure. The portfolio includes commercial office, retail and hotel assets across the international market and has been strategically managed and expanded since the business’ inception. The organisation prides itself on a close knit, driven and collaborative team culture. An opportunity has arisen for an Executive Assistant / Office Manager to join the business, providing high level support to the CEO.
To be successful in this role, you will be a solution focused problem solver who can anticipate challenges and address them proactively. You will act as a trusted right hand to the CEO, bringing initiative, ideas and a high level of independence that helps streamline and reduce their workload. In addition to supporting the CEO, you will also provide part time support to the Chairman and deliver comprehensive office management support across the wider business.
The Responsibility
You’ll play a key role in ensuring the CEO’s effectiveness, with responsibilities including:
- Calendar, inbox and travel management with accuracy, discretion and forward planning;
- Acting as a gatekeeper for a busy inbox by managing priorities and minimising bottlenecks;
- Coordinating meetings, reporting deadlines and leadership team activities;
- Preparing and formatting business correspondence, reports, presentations, agendas and meeting materials;
- Managing expense claims, reimbursements and monthly reconciliations for the team;
- Overseeing office administration including stock management, IT coordination, vendor relationships, facilities and service contracts;
- Assisting with onboarding new starters, ordering equipment and supporting induction processes;
- Coordinating internal events, team dinners and catering for meetings;
- Providing support on ad hoc leadership and business initiatives as required.
The Expertise
The expert we are seeking will demonstrate the following experience and qualities:
- Experience in a board facing or governance focused role, or as an Executive Assistant supporting senior executives, ideally a CEO;
- Strong organisational and prioritisation skills, with the ability to manage a high volume workload and changing priorities;
- Highly developed verbal and written communication skills;
- A friendly, flexible and professional approach, underpinned by a proactive mindset;
- Exposure to corporate governance principles, with strong attention to detail and a high level of discretion.
