The Opportunity
Our client is seeking a confident, organised, and detail-oriented Executive Assistant to support their Head of Finance. Naturally fast paced and with no two days the same, this is ideal for an individual who performs best in a corporate, process-driven environment and can juggle multiple responsibilities with a calm, solutions-focused mindset. You’ll be situated in their modern Sydney CBD office, collaborating closely with senior leadership and key stakeholders.
The Responsibility
As EA to Head of Finance, your responsibilities will include, but are not limited to:
- Provide comprehensive diary and inbox management, including calendar coordination for the executive and team, drafting correspondence and proactive follow-ups;
- Coordinate meetings end-to-end, including room bookings, video-conferencing, catering and technical requirements;
- Manage domestic and international travel arrangements in line with company policy, including itinerary coordination;
- Process expenses and purchase orders for the executive and relevant team members;
- Provide administrative support to the team, including document preparation, reporting, presentations, agendas and minutes;
- Coordinate team events, offsites, training sessions and key departmental functions, and provide overflow and leave coverage support to Executive/Team Assistants; and
- Support onboarding of new team members (IT, P&C, inductions, credit cards, equipment) while ensuring compliance with company policies, procedures and workplace health and safety standards.
The Expertise
You will be an experienced EA with a strong background supporting multiple stakeholders in fast-paced corporate environments, successfully managing competing priorities and meeting tight deadlines. With demonstrated excellent written and verbal communication skills, as well as advanced proficiency in Microsoft Office, you will be a highly organised and detail-oriented individual. Proactive, adaptable and solutions-focused, you will have the ability to work autonomously, take full ownership of tasks, and continuously seek process improvements.
