The Opportunity
Our client is a well-known and respected international investment firm, with US based headquarters. As their Melbourne office is growing in size, it has become the right time to create an Executive Assistant position that encompasses office management duties. The role will provide administrative support to a small team of market leading investment bankers whilst overseeing the smooth running of the day to day office. The Responsibility
Working in this hands on Executive Assistant position, your duties will include but not be limited to:
- Providing diary and travel management support to the investment banking team;
- Front of house duties, answering phones, dealing with mail/couriers, meeting and greeting employees/clients,
- Preparing business correspondence, reports, agendas, minutes and presentation materials;
- Ordering supplies, overseeing facilities, managing all IT requirements;
- Reconciliation of monthly expenses for the team; and
- Organising office team events, dinners, drinks and catering for meetings.
The Expertise
To be considered for this position, you will need a minimum of 5 years of administrative experience in investment banking or a similar environment. You will be comfortable working in a small to mid size environment and have gained exposure in a high corporate environment. . As this role is hybrid in nature, we need someone that has a multi-faceted skill-set and is happy to work in a high-level EA sense whilst also being hands on with the day to day management of the office in Collins Street. Disposition wise we are seeking someone with a calm mindset, comfortable working under pressure and naturally well organised. You will be looking to join a company that offers great stability and employee benefits. Experience managing international relationships with a Head Office function, and exposure to managing the stay of foreign guests will be highly regarded. By way of technical skills, intermediate to advanced MS Office Suite is required. The preference would be for this person to work in the office 5 days per week, with occasional flexibility afforded.
