The Opportunity
Our client is a fast-growing Australian business operating within a niche but expanding sector. This role comes at a pivotal time as they continue to scale operations, build capability and navigate an exciting period of growth and change. They are seeking a capable, grounded and highly proactive Executive Assistant to support their CEO directly. Looking for a true right-hand, someone who can bring structure, clarity and calm to a fast-moving environment while helping drive priorities forward.
A key part of success in this role will be fit and dynamic with the CEO.
He is a highly driven, intelligent and outcomes-focused leader who operates at pace and holds a high bar for quality. He values efficiency, clear thinking and people who can anticipate, problem-solve and execute without needing heavy direction. While executive support forms the foundation of the role, the CEO is looking for someone who wants to operate beyond diary management alone. As trust develops, there is genuine opportunity to become involved in business projects, leadership coordination, operational improvement initiatives and strategic priorities.
This will suit an EA, Business Partner, Operations Coordinator or emerging Chief of Staff who enjoys understanding how a business works and wants to play a broader role in helping a CEO execute.
The Responsibility
Your role will be hands-on, varied and critical to the day-to-day running of the business.
Key responsibilities include:
- End-to-end calendar and inbox management, ensuring the CEO is focused on highest-impact priorities
- Coordination of meetings across multiple time zones, including board and leadership forums
- Travel coordination and itinerary management
- Preparation of agendas, briefing packs and meeting materials, with follow-up on actions
- Acting as a key point of coordination across the leadership team and wider business
- Supporting internal communications, updates and alignment across a distributed team
- Event coordination for quarterly planning sessions and offsites
- Document management, CRM updates and general operational support
- Providing ad hoc research, reporting and project support to the CEO
- Tracking key business initiatives and ensuring follow-through across the leadership team
- Acting as an extension of the CEO to drive accountability, communication and execution
- Supporting operational improvement projects and broader business priorities
- Identifying opportunities to improve processes and bring greater structure to the business
The Expertise
We’re looking for someone who combines strong executive support fundamentals with the commercial maturity to operate as a genuine business partner to a CEO.
You will bring:
- Experience supporting a CEO, Founder, Managing Director or senior executive within a small, entrepreneurial, founder-led or scaling business
- Proven experience managing complex calendars, competing priorities and executive communications in a fast-paced environment
- Exposure to board, executive leadership or senior stakeholder engagement, including meeting preparation, reporting or governance support
- Demonstrated experience coordinating projects, driving follow-up actions and maintaining momentum across multiple workstreams
- Strong written communication skills, with the ability to prepare presentations, briefing papers, reports and professional correspondence
- Confidence working across both strategic and operational activities, moving seamlessly between high-level priorities and day-to-day execution
- Exceptional organisational skills, attention to detail and the ability to manage multiple priorities simultaneously
- The ability to operate with discretion, sound judgement and a high degree of professionalism
- A proactive approach, with a track record of identifying opportunities to improve processes, increase efficiency and create structure
