The Opportunity 

Our client, a rapidly scaling Australian tech company making a genuine impact in their sector, is seeking a capable and well versed Executive Assistant to support their CEO and COO.
This is the first EA hire for the business – a chance to shape the function from the ground up and become a trusted right-hand to two sharp, down-to-earth and high-performing leaders. With direct access to the board and executive leadership team, this is a rare opportunity to step into a role with real impact, visibility, and variety.
Their team are spread locally and globally, they respect flexibility and this person will be in office 3 days per week once up and running.

The Responsibility

Your role as Executive Assistant will include but not be limited to:

  • Complex calendar and travel coordination, including managing meetings across Australian and US time zones
  • Inbox triage, daily prioritisation of tasks and deliverables, and executive gatekeeping
  • Coordination of quarterly board meetings and monthly leadership team meetings, including preparation of agendas, minutes, and materials
  • Event planning and logistics for offsites and internal team events
  • Expense management, document tracking, and CRM updates
  • Project support including research, reporting, and ad hoc internal communications

The Expertise

We’re looking for a calm, capable, and proactive Executive Assistant who brings:

  • Prior experience supporting C-suite or senior executives, ideally in lean, start-up or high-growth environments
  • Confidence managing complexity, ambiguity and shifting priorities with structure and discretion
  • Strong attention to detail, emotional intelligence, and a “get-it-done” attitude
  • Excellent communication and stakeholder management skills – particularly in coordinating across time zones and board/executive audiences
  • Maturity, warmth, and a quietly impactful presence – this role is about making life easier, not making noise
  • Experience supporting remote or distributed teams is a bonus
