The Opportunity
Assistant Sydney is partnering with a well-established global investment firm with over two decades of experience, known for its diversified approach across private equity, real assets, and credit markets. Based in their Melbourne CBD office 5 days per week, this Executive Assistant role represents a rare opportunity to join a world-class organisation at an exciting stage of growth.
You’ll provide high-level support to the Managing Director and broader team of six market-leading professionals. This is a varied, busy and hands-on position that blends classic executive assistant responsibilities with broader office coordination. The role has been designed to evolve with you, allowing you to leverage your strengths and shape your success.
The Responsibilities
Key responsibilities include:
- Diary management, coordinating internal and client meetings; arranging complex domestic and international travel, including flights, visas, accommodation, and ground transport.
- Preparing and formatting business correspondence, reports, presentations, agendas, and meeting materials.
- Managing expense claims, reimbursements, and monthly reconciliations for the team.
- Overseeing office administration, including stock management, IT coordination, vendor relationships, facilities, and service contracts.
- Assisting with onboarding of new starters, ordering equipment, and supporting induction processes.
- Liaising between Melbourne and head office functions to ensure smooth communication and workflow.
- Coordinating internal events, team dinners, and catering for meetings.
- Supporting ad hoc leadership and business initiatives as required.
The Expertise
You will be an experienced Executive or Personal Assistant with 5–8+ years’ experience, ideally gained within financial services, professional services, or legal environments. You’ll thrive in a fast-paced, high-performance culture, bringing professionalism, initiative, and attention to detail to everything you do.
We’re seeking someone who is:
- Confident, organised, and calm under pressure.
- Proactive, with a natural ability to anticipate needs and priorities.
- Comfortable operating in a boutique office while liaising with international stakeholders.
- Proficient across the Microsoft Office Suite, with strong written and verbal communication skills.
- Happy to work full-time from the Melbourne CBD office.
