The Opportunity

Operating within the construction, engineering, infrastructure and industrial sectors, the organisation has built a strong reputation as a trusted supplier and partner to some of Australia’s leading businesses and projects. Despite its scale and steady growth, the business has retained an entrepreneurial and relationship-driven culture. Leadership remain highly accessible, decisions are made quickly and employees enjoy genuine visibility across the business.
Supporting the CEO, this role offers far more than traditional executive support. The CEO remains heavily involved across leadership, operations, strategy, shareholder matters and broader business initiatives. As a result, a commercially minded Executive Assistant who can operate as proactive extension of the CEO is available.
This is not a highly corporate or process-heavy environment. Rather, it will suit someone who enjoys variety, can confidently navigate changing priorities, exercise strong judgement and become a trusted extension of the CEO.
Key Responsibilities
As the Executive Assistant, your responsibilities will include, but are not limited to:
- Extensive diary, email and communication management;
- Drafting correspondence and responses on behalf of the CEO;
- Coordinating domestic travel and executive logistics;
- Preparing board papers, presentations and executive documentation;
- Supporting quarterly board and shareholder meetings;
- Liaising with senior leaders, stakeholders and external partners;
- Acting as a trusted gatekeeper and advisor to the CEO;
- Supporting business projects and strategic initiatives as required;
- Supporting personal, shareholder and family-related matters where required and;
- Utilising technology and AI to create smarter, more efficient approaches to communication and administration.
The Ideal Candidate
We are looking for someone who:
- Has experience supporting a CEO, Founder, Owner or senior C-suite executive in a true 1:1 capacity
- Has worked within a private or family-owned, founder-led or entrepreneurial environment
- Possesses strong business acumen and a commercial mindset
- Demonstrates strong emotional intelligence and sound judgement
- Can confidently manage stakeholders and act as a trusted gatekeeper
- Is approachable, personable and relationship-oriented
- Embraces technology and actively leverages AI to improve efficiency and communication
- Enjoys operating close to the business and contributing beyond traditional executive support
